The agents who cut through the noise aren't necessarily the ones sending the most messages — they're the ones sending the right message, on the right channel, at the right time.

SMS: Fast, Direct, and Personal

Best for:

  • Short, time-sensitive messages (display suite reminders, finance deadline nudges)
  • Single-action requests ("Can you call me back when you get a chance?")
  • Initial follow-up after an inquiry or display suite visit

Best practices:

  • Keep it under 160 characters where possible
  • Always identify yourself and the project ("Hi {{name}}, it's {{agentName}} from Harbour Rise")
  • Ask one clear question or make one clear request — not three
  • Don't pitch via SMS. It reads as spam. Use it to open a conversation, not close a deal.

Common mistakes:

Sending unsolicited SMS to buyers who didn't explicitly opt in. In Australia, this has compliance implications under the Spam Act and the Do Not Call Register. Always get explicit consent — a display suite sign-in, an online inquiry form, or a verbal agreement is typically sufficient if documented.

Email: Detailed, Credible, and Permanent

Best for:

  • Detailed information that needs to be read at the buyer's pace (floor plans, price lists, settlement guides)
  • Construction updates with photos and attachments
  • Long-form nurture content (suburb research, market data, developer profiles)
  • Any message you want the buyer to be able to reference later

Best practices:

  • Subject lines with a specific hook outperform generic ones. "Your finance timeline — Harbour Rise" beats "Update from us"
  • One primary call to action per email. Multiple asks confuse and suppress response rates.
  • Personalise beyond just a first name — mention the specific unit they're interested in, the suburb they're buying in, or the stage they're at
  • Always include an unsubscribe option

WhatsApp: Warm, Fast, and Increasingly Expected

Best for:

  • Buyers you've met in person (display suite, inspection)
  • Quick back-and-forth during the finance or ready stages
  • Sharing photos, videos, and documents informally ("Here's a photo from site I took this morning")
  • International buyers and investors, for whom WhatsApp is often the primary messaging channel

The Channel Sequencing Framework

  1. Day 1 after inquiry: SMS (fast, personal) → Email (detailed follow-up with floor plans)
  2. Finance stage: Email (weekly check-in) + WhatsApp (for quick questions)
  3. Pre-EOI: Phone call → SMS to confirm meeting → Email with EOI paperwork
  4. Post-deposit: Email (monthly construction updates) + WhatsApp for relationship maintenance

The key insight is that no channel works in isolation. A buyer who's only ever received emails from you is much less likely to respond to a phone call than a buyer who's had a casual WhatsApp exchange. Each channel you use builds familiarity that makes the others more effective.

A Final Note on Consistency

The biggest predictor of channel performance isn't which channel you use — it's how consistently you use it. Buyers who receive a monthly email from you for 18 months read it differently than buyers who get a message after three months of silence. Consistency builds trust. Trust is what converts.
